Handle sample lifecycle exceptions in Clearline LIMS

Use documented exception steps when a sample should not continue through the normal received, tested, reviewed, and reported path.

Common exception types#

  • Cancellation: the sample should not continue because the request changed or work is no longer needed.
  • Rejection: the sample cannot be processed because intake, condition, custody, or requirement issues prevent valid work.
  • Invalidation: a result, worksheet, or sample outcome should not be used because the data is not acceptable.
  • Correction or rework: the record needs an approved change before review or reporting continues.

Before changing status#

  1. Confirm you have the right sample, client, project, and identifier.
  2. Review your lab's criteria for cancellation, rejection, invalidation, or correction.
  3. Check whether related worksheets, results, reports, invoices, or client communications may be affected.
  4. Add notes or reason codes according to your lab's quality process.
  5. Ask a reviewer or manager before changing status if the impact is unclear.

Cancel or reject a sample#

  1. Open the sample record.
  2. Confirm no report or deliverable should continue for the sample.
  3. Select the approved cancellation or rejection action if your role allows it.
  4. Enter the required reason, notes, and supporting details.
  5. Save the change and confirm the sample no longer appears in active work queues.

Invalidate or correct results#

  1. Open the affected result, worksheet, or sample record.
  2. Review the current review and publication state.
  3. Follow your lab's approval path for invalidation or correction.
  4. Enter the required explanation and supporting notes.
  5. Confirm the record is routed back to the correct review state.
