Bulk sample registration by CSV import

Use bulk import when your lab needs to register many samples from a prepared spreadsheet instead of entering each record manually.

Prerequisites#

  • Your role can register samples or run the import workflow.
  • The client, contact, project, sample point, analyses, and required setup values already exist in your tenant.
  • You have the current import template or field list for your lab.

Prepare the CSV file#

  1. Start from the template provided for your tenant.
  2. Enter one sample per row unless your template states otherwise.
  3. Use exact values for required fields such as client, project, sample type, collection date, analyses, and priority.
  4. Keep date, time, unit, and decimal formats consistent with the template.
  5. Remove formulas, hidden notes, merged cells, and extra header rows before saving as CSV.

Import samples#

  1. Open the sample registration or import page.
  2. Choose the CSV file prepared for your tenant.
  3. Start the import preview or validation step if available.
  4. Review validation messages for missing fields, unmatched values, duplicate identifiers, or format issues.
  5. Correct the file and re-upload if required.
  6. Submit the import only after the preview matches the samples you intend to create.

Review after import#

  1. Open the samples list and filter by import date, client, project, or batch.
  2. Confirm sample count, identifiers, analyses, due dates, and statuses.
  3. Print labels or bench sheets only after imported records look correct.
  4. Notify the next team or workflow owner according to your lab process.

Troubleshooting#

  • Empty import: confirm the file is CSV and has data below the header row.
  • Missing setup value: ask an administrator to add the required client, contact, analysis, or sample point.
  • Duplicate identifier: check whether the sample was already registered.
  • Wrong analyses: correct the template before import instead of editing many samples afterward when possible.
