Users, roles, and permissions
User access determines who can see samples, enter results, approve work, generate reports, export data, manage setup, and administer other users. Access changes should follow your lab's approval process.
Common role categories#

| Lab user | View assigned work, register samples, enter results, or use workflows allowed by tenant setup. |
| Analyst | Work with worksheets, batches, instrument imports, and result entry for assigned departments. |
| Reviewer/approver | Review results, resolve exceptions, approve work, and prepare deliverables where permitted. |
| Lab administrator | Manage customer-controlled setup, users, roles, clients, contacts, and routine configuration. |
| Read-only/API user | View or retrieve allowed records without changing lab data. |
Exact role names and permissions vary by tenant.
Add or update a user#
- Confirm the request is approved under your lab's access procedure.
- Create or locate the user account.
- Assign the minimum role needed for the user's job.
- Confirm tenant, department, client/project, or work-area limits when your setup uses them.
- Ask the user to sign in and confirm they can see expected work.
- Remove or reduce access promptly when a user's role changes.
Permission troubleshooting#
If a user cannot see or perform an expected action, check tenant selection, role assignment, department/work-area filters, sample status, and whether the workflow is enabled for the tenant. Open a Clearline Support ticket when another user with the same role sees different behavior or an expected role does not exist.
Clearline-managed access items#
SSO setup, identity-provider coordination, tenant provisioning, API scopes, emergency access recovery, and cross-tenant access changes are Clearline-managed unless explicitly delegated.
Support escalation#
Open a Clearline Support ticket for login failures, missing roles, unexpected access, SSO issues, locked accounts, or API access questions. Include only sanitized internal references, the page URL, affected role or account type, current workflow status, what you tried, and exact error text. Redact sensitive values from screenshots. Do not attach regulated data, customer records, reports, credentials, or production exports; Clearline Support will provide a controlled transfer path if additional information is required.
