Sample Reception & Labels
Receiving confirms that the physical sample arrived and is suitable for analysis.
Receive a Sample
- Open Samples.
- Filter to Sample Due.
- Select one or more samples.
- Choose Receive.
- Confirm the action.
Received samples become available for result entry and worksheet assignment.
Auto-Receive
Some labs skip the manual receive step. If auto-receive is enabled, samples move directly to Received when registered. This is appropriate for labs that create records only when the sample is already physically present.
Labels
Labels can be printed at registration, reception, or manually from a sample list or sample view, depending on configuration.
Typical label content includes:
| Label Field | Purpose |
|---|---|
| Sample ID | Primary identifier for the container |
| Barcode or QR code | Fast scanning into the LIMS |
| Sample type | Reduces bench-side confusion |
| Date sampled or received | Supports traceability |
| Client or sample point | Useful when labels are large enough |
Reject a Sample
Reject when the sample cannot be analyzed under your lab’s requirements: wrong container, compromised integrity, insufficient volume, missing collection date, exceeded holding time, or other nonconforming condition.
Record the reason clearly. If client communication is required, document the decision in remarks or according to your SOP.
Chain of Custody
Attach scanned COC forms to the sample, batch, or client record according to your lab procedure. If your tenant includes custom COC exports, use the dashboard or sample tools provided for your lab.
