People and Organization Setup Objects
The people, teams, suppliers, and organizational records that support laboratory work.
Availability varies. The descriptions below explain common operational meaning. Fields, labels, permissions, and availability depend on your Clearline implementation.
Contacts#
Represents a person associated with a client. Contacts can receive communications and may be linked to portal access.
Example
Add Jordan Lee, the client’s compliance manager, with an email address and a preference to be copied when new samples are registered.
- Core pieces
- Salutation, first/middle/last name, and job title
- Department
- Email, business/mobile/home phone, and fax
- Physical and postal addresses
- Contacts to copy on new-sample communications
- Optional linked system user and portal roles
- Connects to
- Clients, samples, requests, reports, publication preferences, and user access.
- Configuration guidance
- A contact record does not automatically grant portal access. Keep communication preferences and system-user permissions explicit and separate.
Lab Contacts#
Represents laboratory personnel who may receive work, sign reports, or participate in review and administration.
Example
Add Morgan Reyes as a laboratory analyst, assign the Metals department, and store an approved report signature where permitted.
- Core pieces
- Person and contact information
- Signature image
- Assigned departments
- Default department
- Optional linked system user and roles
- Connects to
- Lab Departments, analyses, review/verification, reports, and access control.
- Configuration guidance
- Keep signatures and department assignments current. A person record and a user account are related but not interchangeable.
Lab Departments#
Defines laboratory organizational units used for ownership, routing, and responsibility.
Example
Create a “Microbiology” department that owns microbiological services and routes relevant work to qualified staff.
- Core pieces
- Department name
- Description
- Connects to
- Lab Contacts, Analysis Services, and work-routing/reporting views.
- Configuration guidance
- Departments should reflect durable operational ownership, not temporary staffing arrangements.
Laboratory#
The tenant’s laboratory identity and accreditation record—the organization performing and reporting the work.
Example
Configure “Clearline Environmental Laboratory” with its legal address, accreditation body, certificate reference, and report identity.
- Core pieces
- Laboratory name and address inherited from the organization record
- Website and contact details
- Accreditation status
- Accreditation body, abbreviation, URL, and reference
- Confidence level and accreditation-page header settings where used
- Connects to
- Reports, certificates, accreditation statements, lab contacts, and tenant-wide identity.
- Configuration guidance
- Treat legal name, accreditation, and report identity as controlled data. Changes should be approved and validated against generated reports.
Suppliers#
Represents organizations that supply instruments, materials, services, or reference items to the laboratory.
Example
Add a reference-material vendor with its website, laboratory account number, contacts, and purchasing remarks.
- Core pieces
- Organization identity, contacts, addresses, phone, email, and website
- Laboratory account number
- Remarks
- Financial identifiers such as tax/banking fields where enabled
- Connects to
- Instruments, reference materials, purchasing context, supplier contacts, and maintenance records.
- Configuration guidance
- Do not use supplier records as a substitute for controlled purchasing or inventory unless those modules are explicitly implemented.
Manufacturers#
Defines the manufacturer associated with instruments or laboratory products.
Example
Create a canonical “Thermo Fisher Scientific” record and reuse it across applicable instruments instead of entering spelling variants.
- Core pieces
- Name
- Description
- Connects to
- Instruments and Lab Products.
- Configuration guidance
- Use canonical manufacturer names to avoid duplicate records caused by abbreviations or spelling variants.
