Start at the collection-to-receipt handoff

Drinking water, wastewater and other environmental samples do not share one universal acceptance rule. For each matrix and requested method, identify which collection, preservation, container and receipt details your laboratory must capture. Reference the approved procedure and its revision rather than copying limits from a general checklist.

Collection time and receipt time answer different questions. Define how time zones, missing timestamps and conflicting chain-of-custody entries are handled. The authorized laboratory role decides whether to accept, qualify, hold or reject work under the applicable procedure; registration alone is not that decision.

Map a defensible operating path

  1. Identify the request. Connect client, project, sample point, matrix and requested analyses. Establish how field identifiers map to laboratory identifiers and how staff resolve duplicate or illegible labels.
  2. Review receipt. Record observed condition, container and preservation information where required. Assign discrepancies to a named reviewer. Holding-time evaluation must use applicable method and program requirements, not a universal software threshold.
  3. Organize work. Map preparation, partitions, worksheet assignment and result entry. Confirm the method context, units, qualifiers and laboratory-approved review requirements before accepting any instrument import.
  4. Prepare delivery. Agree report content, authorized contacts and how qualified or amended results appear. Regulatory electronic deliverables, portals and connectors are separate scoped requirements; their availability must be demonstrated for the actual destination.

Bring the hard cases to the fit review

For recurring sampling programs, define which project and sample-point details may be reused and which must be confirmed for every collection. An unchanged location does not establish unchanged sample conditions. Include a changed request after receipt in your walkthrough so the laboratory can prove how downstream assignments and reporting expectations are reconciled.

Use a sanitized example with incomplete collection details and another with a receipt discrepancy. Ask who can pause work, where the reason is recorded and what the reviewer sees. Include a report amendment so acceptance covers more than the first successful publication.
